In relation to personal information processed on behalf of our users (including matter data and client information entered into the Service),
we act as an operator as defined in POPIA and process such information only on the instructions of the user, who acts as the
responsible party. For personal information we collect directly (such as account and billing information), we act as the responsible party.

- Billing Information: Subscription details, payment history, invoicing records

3. Purpose of Processing
We process your personal information for the following purposes:
- Service Delivery: To provide and maintain the Cost Consulting platform, including bill of costs preparation, matter management, and document generation
- Account Management: To create and manage your user account, authenticate your identity, and provide customer support
- Billing and Payments: To process subscription fees, generate invoices, and manage payment transactions
- Communication: To send service-related notifications, updates, and support correspondence
- Analytics: To understand how the service is used and to improve its functionality

- Contract Performance: Processing is necessary for the performance of the subscription agreement between you and Cost Consulting

- Payment Gateway (PayFast): To process subscription payments securely. PayFast processes payment information under their own privacy policy.
- Google Analytics: We use Google Analytics to collect pseudonymised usage data, which may include identifiers such as IP address and device information, to improve our service. You may opt out via our cookie consent mechanism.
- Hosting Providers: Our infrastructure providers who host and maintain the platform, bound by data processing agreements

Personal information may be transferred to and processed in countries outside South Africa where our third-party service providers operate. We take reasonable steps to ensure that such transfers comply with POPIA and that adequate safeguards are in place to protect your personal information.

Upon termination of your account:
- Account and billing data is retained for a period of 5 years to comply with South African financial and tax legislation
- You are responsible for exporting any required matter data prior to account closure. You may request an export within 30 days of termination. After closure, matter data is retained for 12 months before permanent deletion in accordance with our data retention obligations
- Usage logs and analytics data are retained in anonymised form
7. Security Measures
We implement appropriate technical and organisational measures to protect your personal information, including:
- HTTPS encryption for all data in transit
- Encrypted password storage
- Session-based authentication with automatic expiry
- Regular secure database backups
- Access controls limiting data access to authorised personnel on a need-to-know basis
In the event of a data breach involving personal information, we will notify affected users and, where required by POPIA, the Information Regulator, without unreasonable delay.
